Sending External Mail (Canada Post)
To send mail by Canada Post, use the following process:
- Address all documents, letters and parcels and bundle them based on destination (local, regional, US and international).
- Attach your mail code number and contact information to the top left corner of each bundle.
- Leave the bundles in the mail pick-up location designated by your department. If you are not aware of this location, see your department administrator.
Departments will be charged back for all Canada Post postage costs which are determined non-core mail services.
Receiving Mail

All incoming mail to UBC Okanagan is sorted and delivered to a designated central location in each building or department. For information about the location for incoming mail in your department, see your department administrator.
Mail Services is requesting all departments arrange addressing of all mail and packages per the format highlighted below to minimize delays in sorting.

Mail sent from within UBC Okanagan campus will be transported free of charge to designated mailrooms. All items should be addressed to include the name of the destination person, department and building.
Documents, letters and parcels destined within UBC Okanagan should be placed in the campus mail pick-up location designated by your department. For information on this location, see your department administrator.
Between UBC Okanagan & UBC Vancouver
UBC Okanagan and UBC Vancouver Campus Mailing Services have made arrangements with a preferred vendor to deliver mail, parcels and documents between the two campuses.
Some of the features and advantages of this service include:
- Daily shipments between UBCO & UBCV mail services
- Reduced cost for shipping based on weight and volume
To send mail to UBC Vancouver using this method, use the following process:
- Address all documents, letters and parcels and bundle them separately from other mail, including campus mail destined within UBC Okanagan.
- Attach your mail code number and contact information to the top left corner of each bundle.
- Leave the bundles in the Campus Mail pick-up location designated by your department. If you are not aware of this location, see your department administrator.

For domestic shipments (within Canada), use Purolator. To ship with Purolator, first set up an account by contacting Purolator.
Rates will vary depending on where you are shipping to within Canada. To determine the charges for your shipment, either phone your shipment to Purolator or use the Purolator Online Shipping Module. To use the Purolator Online Shipping Module, set up a Purolator Online Shipping profile and use your account number to login.
Please note:
- To be eligible for the UBC rates please identify yourself as a UBC Okanagan staff or faculty member, and also indicate PCard as your method of payment.
- Do not include your PCard number on Purolator waybills. Instead, please indicate your Purolator account number. Purolator will send you a Paid Invoice (since payment was made via Visa) to facilitate your reconciliation process.
- Purolator rates do not include fuel surcharge and HST.
